Commercial truck fueling at a truck stop as fuel costs continue to impact trucking company profitability.

Fuel Costs Continue to Challenge Trucking Companies

One of the most common concerns I hear from trucking clients today is fuel costs.

Fuel has always been a major operating expense, but many trucking companies are facing a particularly difficult challenge right now. Fuel costs continue to rise while freight rates remain relatively unchanged, making it increasingly difficult for carriers to maintain profitability.

This challenge is especially difficult for owner-operators and smaller fleets that don’t have the same financial flexibility or contractual protections that larger carriers often enjoy.

While trucking companies can’t control the price of fuel, they can take steps to better manage fuel expenses and make more informed business decisions.

Managing Fuel Costs Starts with Understanding Your Numbers

One of the most important things a trucking company can do is understand its operating cost per mile.

I’ve found that many successful carriers know exactly what it costs them to operate their trucks and can quickly determine whether a load will be profitable. In today’s market, that’s more important than ever.

When fuel prices are increasing and freight rates remain flat, being selective about the loads you take can make a significant difference in overall profitability.

Small Adjustments Can Lead to Meaningful Savings

There are several strategies that can help trucking companies better manage fuel expenses.

Fuel discount programs and fuel cards continue to provide valuable cost savings. Careful route planning can reduce unnecessary mileage and improve efficiency. Driver training also plays a significant role. Habits such as excessive idling, speeding, and aggressive acceleration can quickly increase fuel consumption.

While any one adjustment may seem minor, the combined impact can have a meaningful effect on operating costs over time.

Using Technology to Improve Fuel Efficiency

Technology has also become an important tool for fuel management.

Telematics and fleet management systems provide visibility into driver behavior, route efficiency, and fuel usage trends. These tools allow trucking companies to identify opportunities for improvement and coach drivers on fuel-saving habits.

When used consistently, that information can help carriers make smarter operational decisions and reduce unnecessary expenses.

A Common Mistake I See

One of the biggest mistakes I see is companies not actively tracking fuel costs.

I also see carriers rely too heavily on fuel surcharges without regularly reviewing whether those surcharges are truly keeping pace with rising fuel expenses.

The trucking businesses that navigate challenging markets most successfully are often the ones paying close attention to their numbers and making decisions based on profitability rather than assumptions.

Keeping a Long-Term Perspective

Recently, I had a conversation with one of my longtime trucking clients who has spent decades in the industry.

He’s experienced some of the industry’s strongest years, but he’s also lived through periods when he seriously questioned whether he could afford to stay in business. We talked about rising fuel costs, insurance increases, and freight rates that haven’t kept pace with expenses.

What stood out to me most was his attitude.

He told me he’s been through challenging markets before and has always found a way to come out stronger on the other side. His advice was simple: stay positive, focus on the fundamentals, and remember that tough times don’t last forever.

I think that’s an important reminder for trucking companies today.

Protecting Profitability in Any Market

Telematics and fleet management systems are helping trucking companies gain greater visibility into fuel usage Fuel prices will continue to fluctuate, and market conditions will continue to change. However, trucking companies that understand their operating costs, monitor profitability, leverage technology, and stay focused on efficient operations will be better positioned to navigate whatever comes next.
